Definitions

  • Customer: a person who has ordered or otherwise confirmed their request for an activity or service provided by Lapland Culture Tours.
  • Order: documentation of a booking.
  • Order confirmation: any written documentation from Lapland Culture Tours to a customer, including prices and specifications of the services and confirming the availability of the ordered services.
  • Partner: any party working with Lapland Culture Tours, either directly or subcontracted as a third party.

Services

  • Lapland Culture Tours offers guide services, consultancy, and translation services.
  • Lapland Culture Tours undertakes efforts to maintain and improve the quality of its services.
  • The default language used for guiding and service provision is English unless otherwise stated or agreed.
  • The services offered by Lapland Culture Tours under these terms are described at www.laplandculturetours.com, on third-party booking platforms, or in written agreements.
  • If a requested and agreed service is not listed online, an invoice may be issued and sent by email or send as payment link.
  • By booking any activity with Lapland Culture Tours, you agree to these terms and conditions.

Pricing, Reservations, Paypments and Invoicing

  • Prices include VAT per Finnish taxation law.
  • Children aged 7–17 years are charged 50% of the adult price (rounded); children under 7 attend free of charge.
  • Lapland Culture Tours reserves the right to adjust prices due to unforeseen cost increases (e.g., taxes, entrance fees, fuel prices and transportation costs).
  • Bookings may be made online via www.laplandculturetours.com or third-party platforms. Credit card fees may apply and are the customer’s responsibility.
  • A reservation is confirmed once full payment is received and an email with confirmation and booking number is sent.
  • Service descriptions state the minimum number of participants. If the group size falls below this minimum, Lapland Culture Tours may cancel or recalculate the price.
  • If booking last-minute, payment may be made at the start of the service via mobile payment (card). A booking is only confirmed after full payment.
  • Alternate payment terms must be agreed upon in writing.

Cancellations and rescheduling

  • Free cancellation is permitted up to 14 days before the service.
  • Cancellation fee of 10% applies if cancelled between 14–7 days before the service.
  • Cancellation fee of 50% applies if cancelled between 7 days and 24 hours before the service.
  • Cancellation must be confirmed by Lapland Culture Tours at least 24 hours prior to the service start time.
  • Cancellation less than 24 hours before the service, or no-show: 100% cancellation fee applies.
  • Cancellations or rescheduling requests must be sent to info@laplandculturetours.com during Finnish office hours (Mon–Fri 10–17, EET, GMT+2), including the booking number. Lapland Culture Tours aims to respond within 48 office hours.
  • Full refund applies for cancellations due to illness, provided a medical certificate is sent to info@laplandculturetours.com within 14 days of cancellation.

Safety

  • Participation in guided tours is at the customer’s own risk.
  • Lapland Culture Tours strongly recommends valid travel insurance.
  • Participants under 18 must be accompanied by a responsible adult.
  • Participants must follow the guide’s instructions at all times.
  • Participants must dress appropriately for local weather. Inadequately dressed individuals may be excluded from outdoor tours.
  • Lapland Culture Tours reserves the right to refuse service if a participant is deemed a potential threat to themselves, others, or cultural sites.
  • Participation under the influence of alcohol or drugs is prohibited.
  • If temperatures are forecasted at –20°C or colder, children under 16 may not participate in outdoor activities.
  • Lapland Culture Tours may cancel or adjust services due to safety or weather. In such cases, the full price will be refunded.

Damage and Liability

  • Lapland Culture Tours is liable only for personal injuries or property damage caused by its negligence or that of its employees/subcontractors, or by faulty equipment.
  • Lapland Culture Tours is not liable for damages covered by a customer’s travel insurance, and strongly recommends that customers obtain travel insurance.
  • Lapland Culture Tours is not responsible for loss or damage to customers’ personal belongings.
  • Limitation of liability: Lapland Culture Tours shall not be liable for any indirect, incidental, special, or consequential damages arising from the use of its services.

Accessible tourism: Medical Conditions and Customers with Special Needs

  • Customers with medical conditions (e.g. heart disease, asthma, diabetes, epilepsy, musculoskeletal issues) or who are pregnant should consult their physician before participating. Participation is at the customer’s own risk.
  • Lapland Culture Tours applies an inclusive approach. If adjustments or additional preparations are needed for accessibility, no extra fee will be charged.

Liability insurance

  • Lapland Culture Tours maintains General Third Party Liability Insurance for bodily injury and property damage in accordance with the terms of OP Vakuutus Oy.

Motor Vehicle Liability Insurance

  • All motor vehicles used in Finland are covered by valid Motor Liability Insurance, which governs compensation for bodily injuries and property damage.
  • Compensation follows Finnish law and Motor Liability Insurance regulations.
  • Intentional or grossly negligent injury caused by a participant may limit their right to compensation.

Force Majeure

  • Neither Lapland Culture Tours nor the customer shall be liable for default, damage, or loss caused by force majeure (including but not limited to war, strike, weather, pandemic, or similar events).
  • Lapland Culture Tours shall notify customers of any force majeure condition in writing and take reasonable steps to minimize its effects.
  • If a service cannot be delivered due to force majeure, Lapland Culture Tours shall refund the full price of the service.
  • These terms are governed by Finnish law. Disputes will be settled by Finnish courts, with Lapin Käräjäoikeus (District Court of Lapland) as the court of first instance.
  • Mandatory consumer protection rights under Finnish law remain unaffected.

Privacy and Data Protection

  • Lapland Culture Tours respects your privacy and applies best practices to safeguard its digital infrastructure.
  • Lapland Culture Tours collects only personal data necessary to deliver services and ensure safety.
  • Personal data is used exclusively for the agreed service and is deleted within one year of service completion.
  • The customer has the right to access and correct their personal data.
  • Lapland Culture Tours does not photograph customers for promotional purposes.
  • Lapland Culture Tours offers services via third-party platforms, which may have separate terms and privacy policies. Customers using such platforms accept their terms and understand that data may be stored by third parties.
  • Lapland Culture Tours communicates primarily by unencrypted email. Customers acknowledge and accept that such communication is not fully secure.
  • In the event of a data breach affecting Lapland Culture Tours systems, a notification will be posted on www.laplandculturetours.com detailing potential consequences and recommended actions.

Intellectual Property

  • All content and materials provided by Lapland Culture Tours (including translations, tour materials, presentations, and digital content) remain the intellectual property of Lapland Culture Tours unless otherwise agreed in writing.
  • Customers may not reproduce, distribute, or commercially exploit such materials without prior written consent.

Changes to Terms

  • Lapland Culture Tours reserves the right to amend these terms and conditions at any time. Any updates will be posted on www.laplandculturetours.com.
  • The version of terms and conditions in force at the time of booking shall apply to that booking.

Governing Language

  • These terms and conditions are drafted in English. In case of discrepancies between translations, the English version shall prevail.

Severability

  • If any part of these terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
